Meeting Room Enhancements

What's New?

We have introduced a new room booking experience that allows users to find availability and make reservations faster, more visually, and more intuitively directly from the application.

This update includes a new Quick Booking mode, enhanced availability visualization, new search filters, and an optimized experience for both mobile devices and the web application.

Quick Room Booking

The new Quick Booking feature allows users to reserve a room directly from a visual calendar view, without having to complete the traditional booking form.

From this view, you can:

  • Check the availability of multiple rooms simultaneously.

  • Select an available time slot.

  • Reserve a room with a single click.

  • Adjust the reservation duration afterward if needed.

The selected room is automatically highlighted, making it easier to identify the reservation being managed.

Location Filters

To simplify room discovery, the new Quick Booking experience includes location-based filters that allow users to narrow results according to the selected location.

Available filters:

  • Building

  • Floor

These filters help users quickly find available rooms within their desired location.

Quick Duration Adjustment

Once a time slot has been selected, the reservation duration can be easily modified using the controls available in the interface.

This allows users to extend or shorten the reservation without having to restart the booking process.

Schedule Customization

If you require a specific schedule, you can easily customize your reservation.

How does it work?

  1. Select an available time slot.

  2. Double-click the selected slot.

  3. A dialog window will open where you can define:

    • Start time

    • End time

    • Duration

The system automatically validates the entered times to ensure that reservations follow valid 15-minute intervals.

Improvements to the Reservation Form

The traditional booking form has also been enhanced.

New "Range / Duration" Selector

Users can now specify a reservation duration and allow the system to automatically calculate the end time.

This functionality simplifies the reservation process and reduces scheduling errors.

Available Rooms

When selecting the "Available Rooms" option, a new view is displayed, providing all relevant information before making a reservation.

For each room, the following information is displayed:

  • Room name

  • Availability for the selected time period

  • Maximum room capacity

  • Maximum reservation duration

  • Available tags and equipment

Room Details

When a room is selected, a detailed view is displayed to help users choose the most suitable space.

This screen provides access to:

  • Selected reservation schedule

  • Room availability through a Timeline view

  • Room description

  • Maximum capacity

  • Configured maximum reservation duration

  • Approval requirements, if applicable

  • Available equipment and amenities

This information allows users to quickly understand the characteristics of each room before confirming a reservation.

Advanced Room Search

The Available Rooms view now includes an enhanced filtering experience that allows users to search for rooms using multiple criteria.

Users can filter by:

  • Building

  • Floor

  • Capacity

  • Tags

  • Specific room

This makes it easier to find the most suitable room for every need.

Room Calendar View

In addition to the general availability view, a dedicated calendar view for each room has been introduced.

From this screen, users can:

  • Search rooms by name

  • Review detailed room information

  • View complete room availability

  • Make reservations directly from the calendar

All Quick Booking features are also available from this view.

This screen makes meeting planning easier by allowing users to review a room's full availability before creating a reservation.


Administrator Configuration

Administrators can control the availability of this functionality through the office settings.

Enable Quick Booking

Allows administrators to enable or disable the Quick Booking experience for all users within the office.

Hide Rooms from Quick Booking

Individual rooms can be configured to appear or not appear within the Quick Booking experience.

Room Images

Administrators can also assign an image to each room, making it easier for users to identify spaces and providing a more visual and intuitive booking experience.
