What is this feature for?
This option is intended for spaces where:
It is necessary to validate the purpose of the meeting.
There is a need to control who can use certain rooms.
Prior supervision is required before blocking a space.
For example: executive rooms, external meeting rooms, spaces with special equipment, etc.
Approval Configuration
1. Approval email configuration (Administrator)
From the Administrator panel, one or more email addresses can be defined to receive notifications of reservation requests.
These email addresses will be responsible for:
Receiving the requests.
Accessing the platform.
Approving or rejecting reservations.
The received email is informational; it serves as a notification so the administrator can access the tool and manage the request.
2. Enable approval for a room
Approval is not global; it is configured per room.
Within each room’s details, the administrator has the option:
“Require confirmation”
(enable / disable)
When this option is enabled:
All reservations for that room will require approval.
If it is disabled, the room behaves like a normal room.
Workflow
Step 1 – User requests a reservation
The user creates a reservation for a room that has the Require confirmation option enabled.
Step 2 – Pending approval status
The reservation is set to Pending approval status.
In this state:
The room is not confirmed.
The user cannot check in.
The reservation is not considered valid until it is approved.
Step 3 – Notification to administrators
The configured email addresses receive a notification informing them that there is a new reservation request pending.
Step 4 – Approval or rejection
From the Administrator panel, the reservation list can be accessed and the administrator can:
Approve the reservation → it moves to Confirmed status.
Reject the reservation → it is cancelled.
In both cases, the user will receive the corresponding notification.
