Admin Settings
Decide whether you want users to be able to see who's in the office from the application. To activate it, in the admin panel:
Go to MASTERS ā My Account.
Open the Configuration tab.
Under the Administration section, activate the "Who is in the office" toggle.
If you also want users to be able to see the exact location of reserved desks, upload zone maps and configure desks on the map under MASTERS ā Desk ā Zones.
PLEASE NOTE: The Enable "Who is in the office" toggle is activated/deactivated at the account level and therefore affects all offices equally. However, users will only see colleagues in their own office.
User Application
Search for Users
To see who is in the office:
Go to the Home (1) or Bookings (2) section.
Tap the Who is in the office? link above your booking cards.
āSelect the Date you want to view.
Optionally, use the search bar to filter by name.
Review the results list:
Next to the attendee's name, see their Zone and Seat.
If the Map icon is available, tap it to see their exact location.
PLEASE NOTE: Only reservations from the current office are shown. To see attendees from another office, switch offices in Profile ā Office.
Check Zone Occupancy
The Who is in the office? screen also allows you to view overall occupancy by zone. To do this, click the name of the desired zone under View map by zone:
Only areas with a map and desks positioned on it will be displayed.
Next to the area name, the number of people with reservations in that area is shown.
If there are no people with reservations in an office, access to the area maps will not be displayed.
View occupancy on the map
When viewing the map by area:
Booked desks are shown in red and, if the office configuration allows, the initials of the users occupying them are displayed.
When you tap on a booked desk, if the office configuration allows, the full name of the person occupying it will be displayed below the map.
Use the map controls to zoom in, zoom out, pan, or reset the view.
Tap the back arrow to return to the user list.
Summary
The map view complements the list but does not replace the general search. If a reservation belongs to a zone without a map or to a desk not positioned, the person will still be available in the list and in the search. Furthermore, it's important to note that only bookings with Checked in or Booked status are displayed.
The ability to show or hide who is in the office, as well as only showing results from the user's current office, makes it easier to align Hybo with the company's data protection policies, giving each client the flexibility they require.
The ability to view real-time occupancy maps improves the user experience.
