Once activated, administrators will be able to configure this feature from the Hybo administration panel by defining the number of inactivity days, enabling or disabling the automatic process, and managing the necessary exceptions.
This improvement is designed to help organizations keep their user database up to date, reduce manual administrative tasks, and prevent users who no longer use Hybo from remaining active indefinitely.
This feature is currently under development and may be subject to changes before its official release. The described capabilities, settings, and behaviors may be adjusted during the development, validation, QA, and deployment phases.
What is automatic deactivation due to inactivity?
Automatic deactivation due to inactivity is a process through which Hybo identifies users who have not had any activity during a period defined by the organization and automatically marks them as deactivated.
A deactivated user is no longer active on the platform, but their information remains available so the administrator can review the case and, if appropriate, reactivate the user.
Who defines the inactivity period?
The inactivity period will be configurable by each client from the administration panel.
This means that each organization will be able to define how many days must pass without activity for a user to be considered inactive and automatically deactivated.
For example:
15 days without activity
30 days without activity
60 days without activity
90 days without activity
In this way, Hybo adapts to each company’s internal policies.
What is considered user activity?
To determine whether a user is inactive, Hybo will take into account whether the user has performed activity within the platform.
The system may consider the following actions as activity:
Logging in to Hybo.
Making reservations.
If the user exceeds the configured number of inactivity days and is not included as an exception, Hybo may automatically deactivate them.
Note: Deactivated users can be reactivated if they access Hybo again or if an administrator decides to enable them manually. Once reactivated, the user will retain all historical information, including profile data, previous reservations, and associated records.
Configuration from the administration panel
From the administration panel, the client will be able to manage the main parameters of this feature.
1. Enable or disable the process
The administrator will have a toggle to enable or disable the automatic cleanup of inactive users.
When the process is enabled, Hybo will automatically check user activity.
When the process is disabled, no automatic user deactivation will be applied.
2. Define the inactivity days
The administrator will be able to specify the number of inactivity days after which a user should be deactivated.
This value will be a variable configurable by the client.
For example, if the administrator configures 90 days, Hybo will check which users have been inactive for more than 90 days and mark them as deactivated, provided they are not included in the exceptions.
3. Add users as exceptions
The administrator will be able to mark specific users as exceptions from the employee profile.
Users marked as exceptions will not be automatically deactivated, even if they exceed the configured inactivity period.
This option may be useful for:
Administrator users.
Managers.
Technical accounts.
Temporary users who must remain active.
Profiles that the organization does not want to include in the automatic process.
How will the automatic process work?
Hybo will run an automatic check once a month.
During this review, the system will analyze existing users and verify whether they meet the conditions to be deactivated.
The process will be as follows:
Hybo reviews the platform users.
It checks each user’s last activity.
It compares that activity with the number of days defined by the administrator.
It excludes users marked as exceptions.
It automatically deactivates users who exceed the configured inactivity period.
This process will run on a scheduled basis, without the administrator needing to perform the review manually.
Reports for responsible users
Hybo will allow organizations to configure which users will receive information about the result of the process.
These recipients will typically be administrators, managers, or internal stakeholders who need visibility over deactivated users.
The report will show which users have been automatically deactivated due to inactivity and will help the organization with internal follow-up.
Example of how it works
Suppose an organization configures the feature as follows:
Automatic process: enabled.
Inactivity days: 90 days.
Exception users: administrators and technical accounts.
In this case, Hybo will review once a month which users have been inactive for more than 90 days. Users who meet this condition and are not marked as exceptions will be automatically deactivated.
