Licensing and User Activation

Hybo currently offers 2 licensing models: Named and Hybrid, designed to adapt to different occupancy and corporate growth scenarios.

Named Licensing Model

Under the named licensing model:

  • Customers pay for the maximum number of contracted licenses enabled for use, regardless of whether users actually use the platform or not.

  • The annual cost is fully fixed and predictable from the beginning.

Advantages and Benefits

  • Keeps spending limited to the agreed annual cost.

  • The price per license is usually lower compared to the hybrid model.

Disadvantages

  • If the contracted limit is reached:

    • additional users will not be able to access the platform,

    • and the customer will need to either expand the license package or disable existing users.

  • Even if licenses are not actively used, they are still billed because the service remains enabled.


Hybrid Licensing Model

The hybrid model is designed for organizations with:

  • high employee rotation,

  • variable growth,

  • progressive adoption,

  • or hybrid workplace models where not all employees use Hybo simultaneously.

How does it work?

The hybrid model combines 3 concepts:


1. Mandatory Annual Base

A minimum contracted license base is defined, which:

  • is always billed annually,

  • regardless of actual usage.

Example:

  • Contracted base: 1,500 licenses.


2. Maximum Allowed License Limit

In addition to the base, a:

  • maximum number of active licenses allowed

is configured.

This maximum acts as:

  • a budget control limit,

  • and a technical/commercial growth limit.

Example:

  • Base: 1,500

  • Maximum allowed: 2,000

As long as usage remains:

  • between 1,500 and 2,000,

Hybo will continue allowing users to access the platform without blocking operations.


3. Overage Consumption

Overages are only billed when:

  • the contracted base is exceeded.

Following the example:

  • Contracted base → 1,500

  • Actual monthly usage → 1,720

Then:

  • the first 1,500 licenses are already included,

  • and only the additional 220 overage licenses are billed.

Important:

  • overage licenses are billed at a higher rate than base licenses.


Overage Billing

Overages can be billed:

  • monthly,

  • quarterly,

  • or semi-annually,

depending on the commercial agreement with the customer.

The standard documentation states:

“annual base payment and monthly active license overages are billed semi-annually.”

This means:

  • Hybo measures monthly active license overages,

  • but billing can be consolidated later.


Benefits of the Hybrid Model

Advantages

  • Guarantees user access even during growth or peak usage periods.

  • Prevents operational blocking.

  • Allows spending control through:

    • a contracted base,

    • and a defined maximum limit.

  • Ideal for companies with dynamic occupancy or hybrid work models.

Disadvantages

  • Overage licenses have a higher cost compared to base licenses.


Practical Example

Scenario

Company:

  • 3,000 employees

  • Contracted base: 1,500 licenses

  • Maximum allowed: 2,000 licenses

Real Consumption Example

Current month:

  • 1,780 active users

Then:

  • 1,500 are already covered by the annual base,

  • only 280 overage licenses are billed,

  • and user access is not blocked.

If the customer exceeds the agreed maximum:

  • the contracted license ceiling would need to be renegotiated.


Why does it fit hybrid workplaces well?

Because Hybo is designed for:

  • hot desking,

  • dynamic reservations,

  • rotating parking,

  • hybrid schedules,

  • variable occupancy,

  • and progressive adoption growth.

The hybrid licensing model avoids over-sizing fixed licenses when:

  • not all employees use the platform simultaneously,

  • but they still require occasional access.


How are licenses consumed?

Licenses in Hybo are considered consumed when:

  • the user performs their first login into the platform and is considered enabled and actively consuming a license.

Additionally:

  • users can also be manually enabled from the Admin Portal.

In other words:

  • the effective license activation occurs after the user’s first access/login into Hybo.


User Management and License Release

From the Hybo Administration Portal:

  • administrators can manually deactivate users,

  • releasing licenses that are no longer being used.

This is especially useful for:

  • temporary employees or terminated employees,

  • external collaborators,

  • vendors,

  • or users who no longer require access to Hybo.


Coming Soon: Automation and Optimization Improvements

The product team is currently working on additional features to further optimize license consumption.

Automatic Deactivation of Inactive Users

A new functionality is under development for:

  • automatically deactivating users after X period of inactivity,

  • allowing licenses to be automatically released without manual intervention.


Automatic Deactivation via Microsoft Entra ID (Azure AD)

Hybo can also integrate with Microsoft Entra ID / Azure AD Groups to automatically detect: terminated employees, users removed from groups, or users who no longer belong to the company.

In these cases: the user can be automatically deactivated in Hybo, preventing unnecessary license consumption.


Important: this automation may have an additional cost, depending on: synchronization frequency, directory queries, and the volume of validations against the Entra ID Groups / AD database.
