Getting Started with Room Manager

In this article, we will show you how to configure Room Manager on the tablet placed at the entrance of meeting rooms and how to use it.

🔧 Room Manager Configuration

  1. Access the URL 👉 https://rooms.hybo.app/login, or from the Administrators page, in the "My Account" section, by clicking on "Room Manager".

  2. Upon entering, you will see the screen requesting a subscription key 🔑.

You can also find this key in the Administrators page, inside the "My Account" section.

Once you enter the key, the "Enter" button will be enabled ✅.

  1. On the next screen, you must select the office and the meeting room that will be displayed on the entrance tablet, to manage instant reservations offered by the Room Panel.

First select the office, then the room, and finally click "Enter".
And that’s it! 🎉 The setup is complete.

🧭 Using Room Manager

Once the tablet is configured with the selected room, you will see the following interface:

On the right side, you will find a list of upcoming events 📅.

At the bottom, you can see the timeline with the chronological view of the day and the duration of upcoming reservations ⏱️.

  • 🔵 Green screen: the room is available

  • 🔴 Red screen: the room is occupied

You can also:

  • Create instant reservations by tapping the screen, selecting the meeting duration, and pressing "Meet" 🤝.

  • Perform Check-in and Check-out easily.

🔄 Room Manager Synchronization

In the HYBO Rooms module, including Room Manager panels, synchronization with Microsoft 365 (Outlook) and Google Workspace works bidirectionally to keep booking information up to date across platforms.

When a booking is created, modified, or cancelled from HYBO, the change is automatically sent to the external system.

When the action is performed directly in Microsoft 365 or Google Workspace, the update in HYBO depends on each provider’s synchronization times. As a reference, changes may take approximately 4 to 9 minutes with Google Workspace and 15 to 30 minutes with Microsoft 365.

These synchronization times should be taken into account, especially for bookings or changes made at short notice.

📡 Room Manager Updates During Connection Issues

Room Manager uses different mechanisms to keep the information displayed on the panel up to date, even in the event of temporary issues with the real-time connection.

When the real-time connection is available, the panel updates automatically when new events are received. If the connection is unavailable, Room Manager automatically refreshes every minute to retrieve the latest information.

Additionally, as a fallback mechanism, if the connection remains active but 10 minutes pass without receiving any updates, the panel automatically performs a refresh.

This allows Room Manager to keep information up to date even during temporary connection interruptions or issues receiving events.
