Room Manager

In this article, we will show you how to configure Room Manager on the tablet placed at the entrance of meeting rooms and how to use it.

🔧 Room Manager Configuration

  1. Access the URL 👉 https://rooms.hybo.app/login, or from the Administrators page, in the "My Account" section, by clicking on "Room Manager".

  2. Upon entering, you will see the screen requesting a subscription key 🔑.

You can also find this key in the Administrators page, inside the "My Account" section.

Once you enter the key, the "Enter" button will be enabled ✅.

  1. On the next screen, you must select the office and the meeting room that will be displayed on the entrance tablet, to manage instant reservations offered by the Room Panel.

First select the office, then the room, and finally click "Enter".
And that’s it! 🎉 The setup is complete.

🧭 Using Room Manager

Once the tablet is configured with the selected room, you will see the following interface:

On the right side, you will find a list of upcoming events 📅.

At the bottom, you can see the timeline with the chronological view of the day and the duration of upcoming reservations ⏱️.

  • 🔵 Green screen: the room is available

  • 🔴 Red screen: the room is occupied

You can also:

  • Create instant reservations by tapping the screen, selecting the meeting duration, and pressing "Meet" 🤝.

  • Perform Check-in and Check-out easily.

In the Hybo Rooms module, including Room Manager panels, synchronization with Microsoft 365 (Outlook) and Google Workspace operates in a bidirectional manner, ensuring consistency across platforms. When a booking is created, modified, or canceled from Hybo, the update in the external provider is automatic and immediate, allowing panels to reflect real-time availability accurately.

However, when the action originates from Microsoft or Google, the behavior depends on the providers’ synchronization processes. In these cases, Hybo reflects the updates with a slight delay: approximately 4 to 9 minutes for Google Workspace, and between 15 to 30 minutes for Microsoft 365. This delay should be considered, especially in high-usage scenarios or when managing last-minute bookings via physical room panels.
