How to access and start using Hybo

This article explains how to sign up and access Hybo for the first time. It also provides an overview of the user interface and shows you how to make your first bookings.

Before accessing for the first time

Before logging into Hybo for the first time, it is essential to know which access method your company has defined. If you choose the wrong method, login attempts will fail and may even temporarily block your account as a security measure.

Hybo allows three access methods, but only one will be active in your company:

  1. Integration with your corporate Microsoft Office 365 account.

  2. Integration with your corporate Google Workspace account.

  3. Hybo account using your corporate email address and a custom password.

Microsoft Office 365 integration

If your company has integrated Microsoft 365 corporate accounts with Hybo, you don't need to register. In this case:

  1. Press the Office 365 Account button.

  2. Enter your corporate credentials as usual.

Hybo will delegate authentication to Microsoft and, if the credentials are correct, grant you access.

Google Workspace Integration

If your company has integrated Google Workspace corporate accounts with Hybo, you don't need to register. In this case:

  1. Press the Google button.

  2. Enter your corporate credentials as usual.

If Google validates your authentication, Hybo will grant you access.

If your company does not use Microsoft or Google for authentication, or uses them but has chosen independent access to Hybo, you'll need to create a Hybo account.

Create an account

  1. Press Sign up now:

  2. Enter your corporate email and press Send verification code:

  3. Enter the code you receive by email and press Verify code:

  4. After verifying your email, create your password, complete your name, and press Create:

Access after registration

Once yout account has been created:

  1. Go back to app.hybo.app.

  2. Enter your corporate email and the password you just created.

  3. Click Sign in to access.

If you forget your password at any time, click Forgot your password? to reset it.

First access and onboarding

Your first login to Hybo triggers the onboarding process, which is essential step for the proper activation of your account because it:

  • Completes yout basic profile information.

  • Allows administrators to manage your account.

  • Determines which modules and resources you'll be able to use.

Without completing onboarding, you won't be able to operate normally.

During this process, Hybo will ask for the following information:

  • Interface language

  • Assigned office

    Vehicles (optional, only if you use the parking module)

Once onboarding is complete and you can see the Home section, your account is ready to use.

PLEASE NOTE: Even if managers or administrators will manage bookings on your behalf, you must still complete the onboarding so your user account is properly created in Hybo.

At this point, you can use Hybo via the web version or the mobile app, and even switch between them (keeping in mind the access method defined by your company, as explained earlier):

Possible issues during first access

One issue you may encounter the first time you log in is the Unauthorized Access 401 Error. If that happens, contact your administrator so they can enable your account or grant the appropriate permissions for your role.

Interface overview

Hybo’s features are identical on desktop and mobile. The only difference is the location of the navigation menu:

  • Desktop: left-side menu.

  • Mobile: bottom menu.

From this menu, you can always access:

  • Home: View your bookings for today and quick access to create last-minute bookings.

  • Bookings: Calendar view and booking management by day.

  • Incidents (depending on configuration): Report issues with shared company resources.

  • Information (depending on configuration): Access useful Information or links to relevant websites/PDFs.

  • Profile: Personal data and preferences.

PLEASE NOTE: The navigation menu sections and their contents may vary depending on the modules active in your company and their configuration.

Home

This is the main screen in Hybo. Here you can see:

  1. Your reservations for today: Press any of them to manage the booking.

  2. Recent news (Microsoft SharePoint integration, depending on configuration).

  3. Services (depending on configuration): Company benefits available to you

  4. Need any more reservations?: Quickly book resources for today.

Navigation menu and sections within the Home area

Bookings

This section provides a time-based calendar view, always showing your bookings for the selected day (by default, today). Here you can:

  • Select another day in the calendar to view your bookings for that day.

  • Deselect a day to view all your bookings for the month, including past ones.

  • Hide the calendar to view all your bookings from today onward.

  • With a selected day , create a booking for that day.

  • Manage any booking by pressing its card.

On the calendar:

  • Days with bookings appear underlined.

  • Disabled days (holidays or weekends) appear in grey.

WHEN BOOKING: Whether you book from Home or the Bookings section, you can always change the date in the booking form.

Profile

Here you manage information associated with your account, such as:

  • Active office

  • Vehicles (if you book parking)

  • Interface language

By pressing your name, you can edit additional personal data. The type and mandatory nature of this information depend on your company's policy. Examples include:

  • Personal QR code (if you use kiosks or tablets for check-in)

  • Employee ID

  • Driver’s license (if you use parking and/or car fleet modules)

  • Phone number and/or address

Booking details

By pressing any booking card, you access its details. You will tipically find:

  • Booking date

  • Resource location: e.g., building, floor and/or zone where it is located.

  • Resource name: Identifier of the parking spot, desk, room, etc.

  • Booking status

Common statuses include:

  • Booked: Confirmed booking.

  • Pre-booking: Resource pending assignment.

  • In queue: Resource that will be automatically assigned if another user cancels their booking.

  • Check-in: Resource in use.

  • Check-out: Resource released.

  • Lost: Booking that was not used.

  • Cancelled

Available statuses may vary depending on the type of resource, the office configuration and previous actions.

From here, you can also manage the booking as explained below.

Your first bookings

Create a booking

To create your first booking:

  1. Go to Bookings.

  2. Select a day in the calendar and press the Add (+) icon.

  3. Select the resource you want to book (e.g., meeting room).

  4. Complete the form, paying special attention to the date and all mandatory fields, marked with an asterisk.

  5. Press Book.

Once created:

  • Verify that the booking card appears on the correct calendar date and has the expected status.

  • Check that you have received a booking confirmation email.

Manage existing bookings

Press a booking card to access its details. From here, you typically can:

  • Cancel the booking if you won't use it.

  • Check in and check out when occupying or releasing a resource (if enabled).

  • Book additional resources for the same day.

GOOD HABITS: Cancel bookings you won't use as soon as possible and check out as soon as you release resources so other colleagues can benefit from them.
