Scanning QR Codes with Hybo

Make life easier for users by allowing them to scan QR codes to book, check in, or report issues.

What are the benefits of scanning QR codes?

The main benefits are:

  • Streamlining certain actions: Hybo automatically selects and pre-fills forms based on the scanned QR code, saving the user time and effort.

  • Ensuring proper use of resources: Hybo allows check-in to ensure that reserved resources are occupied. This encourages in-person attendance and, in combination with auto check-out, allows resources to be automatically released if the person doesn't show up, making them available to other users as soon as possible.

Types of QR Codes

Hybo offers 3 types of QR codes: resource, reservation, and employee.

Resource QR Codes

  • These identify resources that the company makes available to its users and thatcompany makes available to its users and that can therefore be reserved and, in general, checked in to confirm their use. E.g.,
    ​

    • Parking spaces

    • Workstations

    • Meeting rooms

    • Activity spaces

    • Fleet vehicles

    • Lockers

  • It is common practice to affix QR codes to the resources in question.

  • They can be scanned with a smartphone camera or the Hybo app.

Reservation QR Codes

  • These represent bookings for a resource made by a user on a specific date and time.

  • They are available in booking confirmation emails or in the booking details section within the app.

  • Visit QR codes, which guests receive in attendance confirmation emails and allow them to check in at the company's premises on the day of the event, work the same as reservation QR codes.

  • They can all be scanned using the self-check-in application, typically configured on a tablet with a camera dedicated to this purpose at the office reception.

Employee QR Codes

  • These identify Hybo users with one or more active reservations.

  • Each user can find their personal QR code in the Profile section of the app.

  • This simplifies the check-in process for multiple reservations by scanning it only once with the self-check-in application.

Example of Resource QR Code Use

Let's look at the possibilities in an office with the following features:

  • Desk and request/incident modules enabled,

  • desk check-in via QR code,

  • 30-minute auto check-out, and

  • resource QR code label attached to each desk.

Upon arrival at the office, users can scan a desk's QR code with their mobile phone camera to:

  • Report an issue with the workstation (e.g., a broken chair back). The fields related to the workstation and its area in the issue form will be pre-filled.

  • Book that same workstation immediately, if it's available, or for future dates. The chosen area and workstation will already be filled in on the reservation form.

  • Check in to their reservation; otherwise, it will be canceled 30 minutes after the start of the shift and will become available to other users.

With a single action (scanning a QR code), Hybo guides the user and allows them to complete three different tasks, all from a single interface with pre-filled forms, saving time and ensuring the proper use and maintenance of shared resources.
